Access to the Mobile Employee Portal

The Employee Portal can be accessed on mobile devices as well as standard computers. There is no special Application required to access the Mobile Employee Portal, but the device must have a Web browser and use a compatible operating system.


Note: First time users of the Mobile Employee Portal must access the full Website to register prior to using the Mobile Employee Portal.


Our applications are designed to leverage the features of the most current browser versions. For the best possible experience, we recommend that you use one of the browsers listed below.

Logging into the Mobile Employee Portal

Once the user has registered on the full Website,

  1. Open a Web browser on the mobile device and enter the URL provided by iSystems for access to the Mobile Employee Portal.

Result: The Mobile Employee Portal Login screen opens.

  1. Enter the Username and Password.
  2. Click Sign in.

Result: The user is asked to answer two previously selected security questions.

  1. Answer the two security questions.
  2. Click Continue.

Result: the Mobile Employee Portal Menu opens.

The Header at the top of the screen contains the service bureau logo, the employee’s name, and a Logout button. Below are a series of tabs from which to select. Managers may also see a tab for Time Off Requests and/or Employee Changes. These are covered at the end of this document.

Pay tab

Select the Pay tab to display recent information regarding Pay Stubs and W-2 or 1099 Forms.

  1. Select the Check Date link to view, save, or print the check stub for that date.
  2. Select the View button next to a check date to view the gross amount of the check.
  3. Select the W-2 link to view the electronic W-2 (or 1099) for the most recent year.

Note: The W-2 is displayed only if an electronic W-2 was processed in evolution.


Select the Menu button at the top of the screen to return to the Menu from anywhere on the site.

Time Off tab

Select the Time Off tab to submit new Time Off Requests, view Time Off Balances, and review recent Time Off Activity.

Time Off

The Time Off section displays the current balance of available time off accrued for each type that is available to the employee.

Type

If earned time off is separated into different groups – Personal time vs. Sick time – this shows the balance of

each type of time off accrued, and will match the types that are set up in evolution.

Balance

Balance shows the current, unused hours of time off. This balance is updated as time is used. Approved

time off does not affect the balance until the time is taken.

Pending

The pending balance includes the hours of time off that have been requested, but have not yet been approved.

Recent Activity

Recent Activity shows the user a list of recently submitted Time Off Requests, and displays the type of time off requested, the dates requested and the total number of hours for each request. Requests noted with a green checkmark have been approved.

Requesting Time Off

To request new time off:

  1. Click the Request Time Off button
  2. Complete the applicable information in each field.
  3. Click Submit to submit the request or Cancel.

Submit request for – select the type of time off from the dropdown list.

Start Date – enter the date of which the time off will start. Defaults to the current date.

End Date - enter the date of which the time off will end. Defaults to the current date.

Hours per day- used to calculate the Total Hours. Select the number of hours needed for each day. Defaults to 8 hours.

Minutes per day- used to calculate the Total Hours in conjunction with the Hours per day field.


Example: If requesting 8 hours per day off, enter 8 in the Hours per Day field. If requesting 7 hours 30 minutes, enter 7 in the Hours per day field and 30 in the Minutes per Day field.


Include weekends when calculating time – select this option to include weekends in the time off calculation where the dates span a weekend.

Notes – enter any special information to go with the Time off Request, for example, I would like to take a half day Tuesday morning and will plan to work Tuesday afternoon.

Review/Adjust – includes the information from the fields above. Each date can be individually edited as needed.

Your Info tab

The Your Info screen has three sections displaying the employees’ Address, Tax Status and Dependents, and Pay Rate information.

Your Info

The Your Info section displays the name and address of the employee. If an email address has been provided, this is also displayed here. The employees can see their Employee Number as well as the Hire Date that is stored in evolution. To request a change of any part of this information, the employee must log in to the full Website or speak with their HR representative.

Taxes

The Taxes section of the screen displays the employee’s Federal and State Tax filing statuses, and any dependents they claim. To update this information, the employee must log in to the full Website or speak with their HR representative. New W-4 forms may be required prior to changes going into effect.

Pay Rates

The Pay Rates section displays the employee’s current Pay Rate or Salary information as well as their current D/B/D/T. If multiple pay rates exist, these will be displayed here by number.

Benefits tab

The Benefits tab displays the employee’s current benefits. This screen is view only, and does not include information about selections during Open Enrollment that will become effective at a future date.

Messages tab

The Messages screen displays messages that have been sent by the manager(s). Up to 2 customized messages can be displayed here at a time. The only place Managers can enter or edit messages is on the full Employee Portal Website.

Contact Us tab

The Contact Us screen will show the employee the Human Resources contact for their company.

Settings tab

The Settings screen is where the employee can update their password, add or edit email addresses, and reset security questions.

Click the Save button to save changes.

Time Off Requests

Managers with Time Off Approval rights may see a tab for Time Off Requests, if there are new or pending requests from employees.

  1. Click the Time Off Requests tab.

Result: a Time Off Requests screen opens, displaying one employee request. (To advance to the next employee, click the button.)

  1. The employee’s name and the details of the Time Off Request are in the center section of the screen.

Details include

If the time requested conflicts with other employees, the name of the employee(s) is listed under Conflicts. For more information about the conflict, the manager can view the information on the full Website.

Recent Time Off Activity for the employee is listed below.

  1. Click or
  2. Click the Save button in the upper left-hand corner of the screen.

Employee Change Requests

Managers may see a tab for Employee Change, if there are new or pending employees requests.

  1. Click the Employee Change tab.

Result: The Employee Changes screen opens displaying one employee’s change request. (To advance to the next employee, click the button.)

  1. The employee’s name and the details of the Change Request are in the center section of the screen.
